Say it safely. Record it properly.

Check-ins, surveys, concerns and warnings. One place, with strict rules on who sees what.

Check-ins and surveys

How is work going?

One question a day. Good, OK or Hard. One tap to answer, one tap to skip.

Nobody can see who said what.

  • No names on answers. Just a department.
  • Five or more. Nothing shows until at least five people answer.
  • Never by manager. That would point at a small team.

Raise a concern

Serious things get a number and a deadline.

Say what it is about and who should read it. If the problem is your manager, you can go past them.

  • A reference number. You get one the moment you send it.
  • Two dates. One to hear back by, one to sort it out by.
  • Your name, or not. Send it anonymously and no name is stored. Not even hidden.

The assistant steps back. Mention harassment, a grievance or a crisis and it will not try to handle it. It points you to a person.

Warnings

When it has to go on record, keep it fair.

Use your own warning levels. Every warning has an end date.

  • They get their say. They can add their side. Acknowledging is not agreeing.
  • Withdrawn, never deleted. Taking one back needs a reason. It stays on file, marked withdrawn.
  • Private by default. Only people you allow can see warnings. Being an admin is not enough.
